HOA Portfolio Manager

Location: Myrtle Beach, SC 29577
Salary: $55,000 to $62,000 annually, based on experience
Schedule: Monday through Friday, 8:00 AM to 4:00 PM
Job Type: Full-Time
Work Environment: Primarily office-based

Position Overview

We are seeking an experienced HOA Portfolio Manager to oversee the complete administrative, operational, and financial management of a portfolio of homeowner's associations.

This is not a residential leasing or rental property management position. The HOA Portfolio Manager will not be responsible for showing rental properties, collecting rental applications, or performing leasing duties. This position focuses specifically on managing HOA accounts and supporting the daily operations of multiple community associations.

The ideal candidate must have at least three years of direct HOA management experience and a strong understanding of both the front-end and back-end responsibilities involved in managing an HOA portfolio. This includes Board relations, homeowner communication, financial oversight, vendor coordination, covenant enforcement, meeting preparation, recordkeeping, and implementation of Board decisions.

Key Responsibilities

  • Manage a portfolio of homeowner's associations and serve as the primary point of contact for Board Members, homeowners, vendors, and service providers
  • Oversee the full cycle of HOA account management, including administrative, operational, financial, and compliance-related responsibilities
  • Develop and maintain professional working relationships with association Boards and community members
  • Prepare for, attend, and assist with Board meetings, annual meetings, budget meetings, and other association meetings
  • Create meeting agendas, management reports, action-item lists, notices, correspondence, and meeting materials
  • Document Board decisions and ensure approved actions are completed accurately and within established deadlines
  • Review association financial reports, budgets, invoices, expenses, reserve information, and account activity
  • Assist Boards with annual budget preparation and ongoing financial planning
  • Coordinate with accounting teams regarding homeowner assessments, delinquencies, vendor payments, financial reporting, and account questions
  • Solicit vendor proposals, review service agreements, coordinate maintenance projects, and monitor vendor performance
  • Support the enforcement of governing documents, community rules, covenants, architectural standards, and Board-approved policies
  • Coordinate violation notices, homeowner correspondence, hearings, and follow-up actions in a consistent and professional manner
  • Maintain accurate association records, contracts, insurance documents, reports, correspondence, and governing documents
  • Respond promptly and professionally to homeowner questions, complaints, requests, and account concerns
  • Coordinate architectural review requests and communicate decisions according to association procedures
  • Track projects, deadlines, inspections, renewals, meetings, and other community requirements
  • Work independently while managing multiple communities, competing priorities, and time-sensitive responsibilities
  • Maintain confidentiality when handling homeowner, Board, financial, and association information
  • Attend occasional evening Board or community meetings as required

Required Qualifications

  • At least three years of direct HOA management experience
  • Previous experience independently managing a portfolio of HOA or condominium association properties
  • Demonstrated knowledge of both front-end and back-end HOA management responsibilities
  • Experience working directly with HOA Boards, homeowners, vendors, and accounting personnel
  • Working knowledge of association budgets, financial reports, invoices, assessments, delinquencies, and vendor payments
  • Experience interpreting and applying governing documents, covenants, rules, policies, and architectural guidelines
  • Strong written and verbal communication skills
  • Excellent organization, time management, documentation, and follow-through
  • Ability to manage multiple HOA accounts, deadlines, meetings, and projects simultaneously
  • Professional judgment and the ability to handle homeowner concerns calmly and diplomatically
  • Proficiency with Microsoft Office, email platforms, virtual meeting systems, and HOA or property management software
  • Ability to work in a professional, office-based environment with limited supervision

Preferred Qualifications

  • CMCA, AMS, or PCAM certification
  • Experience with HOA management or accounting platforms
  • Experience preparing Board packets, management reports, meeting minutes, budgets, and financial summaries
  • Familiarity with South Carolina HOA or condominium association operations
  • Experience managing capital projects, insurance claims, reserve projects, or vendor contracts

Work Environment and Physical Requirements

  • This position is primarily performed in a professional office environment
  • This role does not involve showing, leasing, or marketing rental properties
  • Ability to remain seated and work at a computer for extended periods
  • Ability to communicate regularly by telephone, email, video conference, and in person
  • Ability to occasionally visit assigned communities, attend meetings, or conduct property inspections
  • Ability to occasionally lift and carry office materials weighing up to 25 pounds
  • Occasional evening or after-hours availability may be required for scheduled Board meetings or urgent association matters
 

Compensation

$55,000-$62,000 per year
